HOW TO: Getting Started in Outright

I have talked before about Outright.com. It is a GREAT, FREE and super easy way to track business income and expenses. My favorite part about Outright is that you can link it to your PayPal account and any transactions AUTOMATICALLY get updated in to Outright. It makes it so easy to use.

I thought a quick tutorial on how to set up Outright for your small business would be a great way to help you get started! It isn't hard or scary, there is no reason to put it off any longer...so let's get started:

1) SIGN UP FOR PAYPAL:
If you haven't already, set up a PayPal account for incoming and outgoing funds. PayPal is free to sign up for. They do charge a fee for funds received. You might consider signing up for their debit card. This makes using the funds you have saved in PayPal easier to access.

2) SIGN UP FOR OUTRIGHT:
Sign up for Outright. This is FREE, quick and easy.

3) ADD YOUR PAYPAL ACCOUNT TO OUTRIGHT:
- Now, you will see your Outright dash board. From here, click on the 'Add another account' button, on the left side of the page.
- Choose PayPal
-You can choose to import ALL data, or click the link to import only future data
- Choose Authorize PayPal, go through the pages to finalize.

4) PERSONALIZE SETTINGS:
- At the very top of the page, click on the 'Settings' link.
- Most of these are self explanitory. But, let's talk about personalizing 'Categories'...
There are two columns, one for income, one for expenses. You can add and choose which categories you want to track for each. For example, you'll probably want to add an expense for PayPal Fees. If you are an Etsy or Ebay seller, you'll want to add an expense category for fees for each of those as well. If there are any other expensese you know you'll want to track individually, this is the place to add them.





5) CODE TRANSACTIONS:
- Now, all PayPal data has been imported in to your Outright account (or if you need to, click the 'Refresh' button on your dashboard page) . You now need to categorize the transactions. On both the 'Income' and 'Expense' tabs at the top of the page, you'll find the imported transactions. For each you need to choose the appropriate category.
- To do this: click on the 'Category' cell for the transaction, use the arrow to see the drop-down options. Make your choice, click the 'Save' button. Continue on like this for each transaction.

6) ADD OTHER TRANSACTIONS:
- If you have transactions outside of PayPal, you'll need to manually enter this data.
- To do this: Click on the 'Income' or 'Expense' tab at the top of the page. The first transaction line of the page is blank. Fill this in with your data, click 'Save', continue as necessary.

7) REPORTING
- Now, you are ready to view your reports! Click on the 'Reports' tab at the top of the page. Here you can view, download and export your financial reports.








Now, each time you return to Outright, click the refresh and code the new transactions. See...it really is SO simple to use! If you have any questions, comments or ideas, please feel free to comment or contact me directly.

CPA: The right fit for you

Taxes, taxes, taxes...it is on everyone's mind this time of year!

If I have done my job, you will have a simple financial report you can use to complete your taxes. Some of you may go at your taxes your self, others may want a CPA to complete them for you. I have heard many times, small business owners don't know how to go about finding a CPA that suits their needs.



There was a conversation going on in the Etsy forums the other day and I came across the most KNOWLEDGEABLE and helpful CPA, Ana Gonzalez (who has her own beautiful Etsy shop at NOSUBGALLERY.etsy.com ). She offered the following advice in that thread and has graciously allowed me to repost her insight here for you:

"The best way to find a CPA that will fit you is to ask the owners of similarly sized/type businesses for a recommendation. If that does not work, call your local CPA state society and ask for several referrals.

And deciding on a CPA is the same as interviewing someone you are thinking of hiring as an employee - you will be interviewing the CPA, do not let him/her intimidate you, you are the client. If you don't understand something, ask for an explanation in layman's terms, but don't expect a full course on taxation.

Talk to several, be prepared and ask questions specific to your business (to which you already know the answer (a little testing never hurt anyone), ask for an estimate of his fees, what he will be doing and what he expects you to be doing for that specific fee, what the turnaround time is (don't expect to come into the office on April 1 with a shopping bag full of unsorted receipts and expectt the return to be done by April 15. By the way, "I don't know (or I am not sure), but I will look it up." is a perfectly valid answer. So is "it depends on your situation, I need to know more about your financial circumstances."

What kind of tax planning can he do for you (again, now is too late to do tax planning for 2009, but the perfect time to start planning for 2010. Ask about pension plans to which you can contribute, (there are more plans available than just IRA's) estimated tax payments, will he do the sales tax returns or will you be doing them.

And after you are satisfied with all of that, how was the interaction with them, how do you feel about the person? Do you think you can work well together?

Have fun! It is not as bad, or intimidating, as everyone thinks, and you will save yourselves a lot of time reading tax publications - time which most of you I am sure would prefer to use by taking care of your business."

She ads, you should have a "professional appearance while interviewing the CPA and showing a serious interest in growing the business because the CPA may not accept them as a client if he/she thinks they will be wasting his time."

Ana's credentials are nothing less than AMAZING, she has a BBA in Accounting, an MBA in Taxation, CPA for over 40 years, worked in the Corporate tax area for 30 years, had her own practice specializing in individual and small business taxation for 10 years during which she also worked as Adjunct Professor of Accounting at a local college. And is "now happily retired!!! :-) "

So, there you have it! Straight from the CPA's mouth. Go forth and find your CPA today :)

Top 10 Accounting Tips

1) Know the very basic.
It might go without saying...but then again it might not.
Revenue - Expenses = Profit

2) Separate your business funds from your personal funds.
Bank, PayPal & Credit cards. The books are SO much easier to balance when there are only related transactions to deal with.

3) Downloading detail is your friend.
Etsy, PayPal and probably your bank and credit cards have the option to download transaction detail in to excel and/or QuickBooks. USE THIS OPTION! The less data entry you have to do, the more time and accuracy you gain.

4) Keep your paper (and computer files) organized.
You don't need to enter your transactions in to an accounting program daily. But, if you keep all the information organized in between entry points, entry will go much smoother.

5) Accounting software: Start simple...& free.
Start with the free versions and work your way up as your business grows. Some of the options I endorse (and work closely with, so feel free to contact me if you have questions):

6) Use the Schedule C as a guide for your expense categories.
It is not the end-all, be-all of expense categories, but it is a great starting point. Use these categories and then add in your own subcategories as necessary for your business. View HERE

7) Reconcile your accounts.
Doing this assures you know what is coming and going from your bank/PayPal accounts.

8)Don't do your bookkeeping FOR the IRS.
Many owners do their bookkeeping 'for' the tax man. This is backwards. You do your bookkeeping for YOU and as a result, can easily share the required info with the tax man.

9) When in doubt, research the answer.
Just be sure you are using a reliable resource when doing your research. Some that I use often are:
The QuickBooks Community Forum (answers to many questions beyond just QB) HERE
The Small Business Administration HERE
Business.Gov HERE

10) Review and use.
After taking the time to create accurate financial reports, be sure to USE them! Financial reports are the basis of sound business decisions. Knowing the health of your business allows you to make good choices for your business' future.
